Well, here are my personal tips to you.
1. Always ask me. I can advice you on most of the things. you can call, sms, e-mail etc. Never shy to meet me!!
2. If your event is at night and involved VVIP and you are not sure about crowd, make sure the arrival of the VIP is at 8.30PM. And in this case, never start your event (if involved VVIP) at 8.00pm. The hall is sure empty (Main hall)
3. If your activity involved VVIP, Director of the event must make sure the publicity/promotion is done extensively. If your promotion is poor, then on the actual day, participant/attendance is sure very low. This will make your event look very bad.
4. You must know staff involved in certain-certain area ie. room booking is APAC (Mdm Rohana Md. Ali), for FMD the person might be Mr. Rozi (facilities), Mr Jeffrey (electrical), Mdm Siti Kamariah (facilities) , for security, maybe Mr Yaccub (signboard) or Mr Su'aidi etc. STAD officer most likely me (consultation), Mdm Noralina (to rent flower pot, skirting, glass, blazer etc.), Mr Chua for borrowing sports equipment, booking of sport facilities etc. , SRC for booking of SEC (student excellence center ie. Sri Zamrud, Sri Emas etc). For OCBC, most likely Mdm Fazilah (finance). Knowing the right people can make your life easier
5. Know the financial procedures of STF. Everything involving money do have procedures. If you don't know or not sure, refer tips no. 1. Avoid silly mistake like didn't sort receipts into the right categories, create your own category or just pass to me all receipts and expect STAD to do everything for you.
6. Constant follow up. Let say if you've pass the financial report and waiting for the reimbursement, do come regularly to check the status.
7. If somebody promise to give sponsor your event, never believe it until you get the money or cheque. Imagine if you've commit RM10,000 to vendors and last minutes the sponsor money didn't come. What will happen? nightmare to you of course!!
8. Never do things last minutes!!! that's why the checklist is there!! use it lah....
9. Delegates your job. Don't do everything on your own. Although you have to run the event, don't make this an excuse to miss class, assignment etc. Easy job like venue booking, borrowing items, doing banners, poster, flyers etc. should be done by other people.
10. For those involve in giving speech ie Director of the program, emcee/s , president of club etc.. Make sure you've memorize your speech especially if the event involve VVIP. Do your own rehearsal and pay serious attention for it!. It's not difficult. You just have to remember the main point of your speech and tell it like telling a story to the audience.
